The Inbox is where all survey responses are collected, organized, and managed. It gives you a complete overview of what respondents think about your service or product. Responses are the building blocks for your reports. Managing them properly ensures you can analyze feedback effectively and keep your data structured.
What do you see in the Inbox?
- Categories: On the left-hand side, you can filter responses using categories.
- Responses overview: In the main section, you see all incoming responses, including response data and status.
- Search and filter dropdowns: Use filter dropdowns such as metadata, survey, tags, and score to narrow down results.
- Actions: Perform actions such as favorite, archive, delete, or publish responses.
Filter responses
You can use filters to quickly find relevant responses and gain insights.
- Use quick filters to switch between common categories.
- Use custom filters to refine your search based on criteria such as score, metadata, or keywords.
Example: Search for the keyword service and set the score from 8 to 10 to find all responses containing “service” with a high score.
Good to know
If metadata is added to responses, it will also be available as a filter option.

Manage responses
You can take different actions on responses to organize and follow up on feedback.
How to take action on a response
- Hover over a response to see quick actions such as publish, archive, or delete.
- Click on a response to open it. At the top, you will find all available actions.
Available actions
- Favorite: Mark important responses for easy access.
- Archive: Store responses without deleting them.
- Delete: Permanently remove a response.
- Publish: Publish responses on a website (if linked to Spotler FeedbackPro).
Export responses
Some user types are able to generate a .csv file of all responses in the inbox.
- Go to the Inbox module.
- Click the Export Excel button in the top-right corner (if available for your user type).
Important
Make sure your filters are set correctly before exporting your data.
