How to schedule an Excel report from the Inbox?

In Spotler FeedbackPro, you can schedule an Excel report from the Inbox so that it is generated and sent automatically, on a fixed frequency, to one or more recipients. This is useful when you want to receive a recurring overview, for example every month, without exporting it manually each time. You set this up using the Schedule Excel button in the Inbox.

Before you start

You can define your filters in two ways: set the preferred options (such as the time period, survey, or specific metadata) in the Inbox before opening the scheduler, or go through all of them inside the scheduler itself. This article follows the second approach, so every step is covered.

Open the scheduler

  1. Go to the Inbox.
  2. In the top-right corner, click Schedule Excel.
  3. Click Create new scheduled report to create a new report. Existing scheduled reports can also be edited here.

Configure the report and filters

  1. Give the report a recognizable name, for example Monthly report.
  2. Select the survey you want to export.
  3. Set the time period. Enable the Filter checkbox at Date range and choose whether to include a previous period or the current period. For a monthly report, select Previous one month, for example.
  4. Optionally add extra filters so that only relevant responses are exported:
    • Scores, for example only low scores.
    • Metadata, for example only responses where a specific field equals a specific value.
    • Questions, for example only respondents who indicated they may be contacted.
  5. Choose which metadata fields to include as columns. This is useful when different surveys use different metadata and not every field is relevant to this report.
  6. Select the recipients. Choose existing users using the plus icon (+), or manually add an email address.
  7. Click Next.

If you do not select any metadata field, all metadata fields are included as columns in the Excel file.

Set the frequency and time

  1. Specify when the report should start. For a monthly report, the first day of the month is a logical choice, for example.
  2. Set the interval that determines how often the report is sent. For a monthly report, select every month.
  3. Choose the time at which the report should be sent, for example 08:00.
  4. Click Next.

Review and finish

  1. Review the summary of your settings.
  2. If everything is correct, click Finish.

The scheduled Excel report is now set up. From this point on, it is sent automatically to the selected recipients at the chosen time and interval.
